FISCAL YEAR 2025-26 MEASURE W COMMITTEE MEETING CALENDAR

RECOMMENDATION
It is recommended that the Measure W Committee, by motion, adopt an annual meeting calendar for the next 12 months.

DISCUSSION
To improve attendance and streamline administration for committee meetings, staff have developed a proposed calendar of future meeting dates for the upcoming fiscal year. Following the presentation by staff, the committee may discuss and make any changes it deems appropriate or adopt “as is.”
Attached is a copy of the Measure W Oversight Committee Council Policy. Sections 11 and 14 cover meeting requirements and committee member attendance (Attachment A). The City Council Policy Manual also include attendance requirements in Chapter 3.03 ATTENDANCE POLICY FOR APPOINTEES (Attachment B).
Staff recommendation is to hold quarterly meetings on Thursdays at 3:30 p.m. as follows:
- December 10, 2025
- February 19, 2026
- May 28, 2026
- September 24, 2026
This schedule is subject to change with appropriate action by the Committee. Changes to this schedule may occur for a variety of reasons including business needs, scheduling conflicts, and the need for special meetings.
For background purposes, the committee has been meeting three to four times per year. As such, if one of the quarterly meetings proves unnecessary, it may be cancelled.
The City Clerk’s Office continues its recruitment efforts to fill committee vacancies and improve meeting attendance. Having a set meeting schedule may also help with member recruitment.
Staff recommends that the Committee adopt the proposed schedule setting quarterly meetings for the Measure W Committee for the remainder of Fiscal Year 2025-26.
